Navigator provides two additional services which assist Dealer's in their GDPR compliance in relation to Database Management.
Data Archiving
As part of a Data Policy, it is necessary to define retention policies for Customer records in the Dealer database.
Navigator can be configured to automatically Archive (ie delete/remove) customer and vehicle records after a period of no-transactions. The facility will run monthly and provide reporting on the changes made each month.
The parameters used for the Archive are as follows :-
Customer Records
No Followup :-
No of months of no transactions to flag the record as no-contact (ie until all the Customer Preference Tick boxes).
If a customer has
•no invoices on any of his vehicles, or •has not purchased a vehicle, or •not purchased a part or •not enquired on a vehicle
in the number of months set, then the customer will be flagged for no contact.
Archive/Delete
No of months of no transactions to archive (delete) the record.
If a customer has
•no invoices on any of his vehicles •not purchased a vehicle, •not purchased a part •not enquired on a vehicle
in the number of months set then the customer will be archived and removed from the system, along with any vehicles owned.
Vehicle Records
No Followup :-
No of months of no transactions to flag the record as no-contact (ie until all the Customer Preference Tick boxes).
If a vehicle has
•no invoices on any of his vehicles •is not booked into the workshop
in the number of months set, then the vehicle will be flagged for no service follow-up
Archive/Delete
No of months of no transactions to archive (delete) the record.
If a vehicle has
•no invoices on any of his vehicles
in the number of months set then the vehicle will be archived and removed from the system.
Customers with NO Transactions History
Customer/Prospect records can be recorded on the system - normally via a Sales Enquiry - but they have never purchased anything from the dealership.
There is an additional option available on the archive which allows these customers to be deleted a number of months after initial creation.

Data CleansingIn addition to Data Archiving, there is the ability for Customer and Vehicle Data to be cleansed on a bi-monthly basis.
The data cleanse will provide the following facilities:-
Customer Records
•Address Validation •Gone away marking •TPS and MPS flagging •Flag Deceased Customers
Vehicle Records
•Flagging if there has been a keeper change •Flagging if the vehicle has been scrapped •Updating MOT expiry date
These jointly provide the facility for a Dealer to fulfill the requirement to ensure that their database is maintained and up to date.
This is carried out by a third party, and there is a cost of £30 per thousand records (a record is an active customer or vehicle).
